Greetings, CoE Colleagues:

With the fall semester now underway, we are ready to turn our attention to P&S staff performance reviews.  Our annual reviews generally follow a calendar year compliance period and are a prerequisite to the annual salary planning process that occurs in November and December. This year, to ensure performance data is available for the salary planning process, all P&S reviews within the CoE must be completed by October 22, 2021.

Like last year, it is important to recognize that COVID has impacted staff in many ways. Workloads may have shifted, new responsibilities or requirements may be in place, the transition to virtual work and back can be difficult, etc.  However there are also pressures and challenges outside of work for staff related to childcare, K-12 school, and health or financial worries. Given the pandemic's lasting impact on our lives both at work and at home, when preparing reviews this year (whether your own or your subordinate’s), please consider how the impact of COVID may have affected performance and the ability to complete goals.

The performance review application, process, and form have not changed from last year. Here are a few tips on how to get started and resources to assist you:

  • The performance review application is accessed in Employee Self Service-> My Career-> Career & Performance-> Performance Review.
  • Performance review forms are initiated by the employee in the tool and then routed to the supervisor. To ensure supervisors have sufficient time to write and conduct reviews, employees should aim to have their part done and sent to the supervisor by September 30, 2021.
  • A Quick Reference Guide for using the performance review app is available on the Engineering HR webpage: Quick Reference Guide.
  • All reviews must be completed in workflow by October 22, 2021. This means the review has been completed by both the employee and supervisor, the review discussion has occurred and the employee has electronically acknowledged it in the tool. Please plan accordingly. 
  • I will reprise the "Preparing for your own Performance Review" presentation on September 10, 2021 from 12-1pm via Zoom (https://uiowa.zoom.us/j/99961723039). This is an optional session for staff that provides suggestions for doing your self-evaluation, goalsetting, and making the most of the performance review process.

Supervisors – please note:

  • You may wish to utilize the Request Feedback feature.  Here is a best practices document for viewing or download.
  • Ratings of Needs Improvement or Unsatisfactory should be discussed with a member of the CoE HR team prior to being communicated to the employee.
  • Performance review meetings may be conducted virtually or in person. For virtual meetings, we encourage the use of Zoom to still provide a “face-to-face” discussion.
