This message is intended for academic departmental administrators offering winter 2025 course offerings.

MAUI Offerings Planner is now open and available for you to submit winter 2025 course offerings. You can update and submit your winter 2025 course offerings in MAUI at any time from now until the end of the day on June 6, 2025.

Proof Period

There will be a two-week window to submit Course Offering changes prior to Schedule Building going live on MyUI.


Notifications to Students

Please Note: Workflow approval actions do not generate notifications to students. The academic department is responsible for notifying registered or waitlisted students of any changes to class times, days, locations, credit hours, or other section-related details. If any conflicts arise, the department should work directly with the affected students to resolve them. Class lists and emails are available on MAUI.


Off-Cycle Courses

If your department submits off-cycle courses, please be sure to double check the start and end dates.


Class Time and Scheduling Exceptions

All classes must follow the standard time-block model in University Classrooms (UCRs). In rare cases, a non-standard class time may be allowed requiring approval from the departmental DEO and the Associate Provost for Undergraduate Education (APUE). To request approval, the department ADA or DEO should complete the online Non-Standard Class Time Exception Request form.

Important: The scheduling exceptions field has been updated to include two new fields: Scheduling Exception Start and Scheduling Exception End. These fields are part of the edit section information screen in MAUI Offerings Planner. Please note: If the Scheduling Exception End field shows an end session, this section WILL NOT automatically replicate for the next “like session” (fall to fall/spring to spring). Consequently, each individual section will need to be manually created with an approved standard class time, or you will need to reapply for a non-standard class time exception using the Non-Standard Class Time Exception Request form. If no end session shows in the Scheduling Exception End field, the section will replicate in the future as approved by Classroom Scheduling.

Course Offerings and Federal Financial Aid Compliance

The University of Iowa is a standard term school for purposes of federal financial aid. The Department of Education’s federal compliance issue relates to courses that start before, or end after, the published semester dates. These dates can be identified using the MAUI Academic Calendar within the grey session banner unless an alternate collegiate context calendar exists. Courses with dates that do not fall within University begin and end dates for the session will not be approved, even if the course may have been approved in the past. Instructors will need to adjust the dates to fit within the semester.

Date Validation Compliance

Course offerings with section dates that do not align with or fall within the university standard begin and end dates of the session will be restricted from submission into MAUI workflow. This includes date alignment with any courses that follow collegiate context calendars. Session date compliance action is essential to our institution adhering to federal compliance policy regulated by the Department of Education. Please see the Academic Calendar for verification of off-cycle dates. As a result of the date validation programming in the MAUI Planner, Classroom Scheduling encourages departments to allow plenty of time for submission for any off-cycle section.


Course Scheduling Forecasting Tools

New forecasting reports have been created to aid departments in planning for upcoming terms and are housed in MAUI Reports. These instructional capacity forecasting reports are key in allocating the appropriate numbers and sizes of sections as well as capacity of instructional resources for a new academic term. This data will help the departments aid the Office of the Registrar in allocating our university classrooms to meet the demand across all colleges through the analysis of enrollment trends. We aim to take the guesswork out of the initial schedule building.

Additionally, the course offerings reports within the MAUI Reports portal may be of assistance:

  • Historical Course Enrollment Counts: current and opt enrollment counts at the course level for one or multiple sessions using census and daily snapshots
  • Section Heatmap: a graphical representation showing when sections are offered throughout the day and week
  • Schedule Conflict Finder: This report identifies potential scheduling conflicts or "collisions" across different statuses between colleges and courses

TILE Classrooms

To request a TILE classroom, the instructor is required to have TILE training. If the instructor changes after the initial assignment of a TILE classroom, a room modification may occur IF the replacement instructor is not TILE-trained. For more information about TILE and training, see the TILE website.


Submit Course Sections to Workflow

The Submit to Workflow tab must be clicked to finalize submission of sections to workflow. If this step is missed, the request will not be submitted to the Office of the Registrar, no room assignment will be made, and the section will not appear on MyUI.


Sections That Will Not Be Offered

Please delete sections from the planner that will not be offered this session. This does not delete the course from the MAUI Course Library or General Catalog; it only indicates that the section will not be offered this session.

For any assistance, please access Planner Help on the left-hand side of the MAUI Offerings Planner screen in the shaded area for access to course offering help guides. Additionally, there is a link for Planner Support where questions may be emailed to classroom scheduling staff.


Proof Copy

The Proof Copy link is located on the left-hand side of the MAUI Offerings Planner screen in the shaded area. To view the proof copy, select the fields to be displayed by using the arrow. Change the session date on the upper-right side of the screen and press the Go tab near the bottom of the page. A proof copy can be requested at any time and will show real time changes.
