Final Exam Update

Caroline Jens, with Exam Scheduling, shared a new feature for final exam scheduling coming fall 2025 - exam length durations. Department admin will now select if a course requires a 60, 80, or 120-minute final exam in the exam needs tool.
Course Offering Allocations Preview

Overview:
- Future Roll Out: Class time allocations programming anticipated to be live in MAUI in early to mid-April. This programming only affects classroom assignments within the University Classroom Pool.
Key Concepts:
- Allocation Definition: Class time allocation figures are determined by comparing the number of hours of each department used in the university classroom pool last fall to the total classroom use and relative to the number of classroom periods available next academic year.
- Class Time Allocations Importance: Ensures fair use of university classrooms, improving scheduling efficiency and easing student registration.
- MAUI Programming Framework: No changes in algorithm calculations due to relevancy yet today. We’ve made the process more transparent for the end users.
Current Challenges:
- Classroom Shortages: Highlighted the issue of running out of classrooms, especially on Tuesdays and Thursdays. The need to spread out the offerings is critical in seating the registered students.
Improvements:
- New Data Availability: Data will now be provided in MAUI, with adherence tracked through the entire session instead of only during initial scheduling.
- Enhanced Reporting: Improved concept based on the same framework but with better reporting capabilities.
Steps to Roll Out:
- JIRA Wrap-Up: Complete ongoing JIRA tasks in early April.
- Production Roll Out: Data will be accessible in the Fall 2025 MAUI Planner, with full implementation by Spring 2026. Departments will need to act on their Spring 2026 University Classroom assignments.
- Training: Teach & Learn invitations sent to UCR ADAs in April.
New Office of the Registrar Website

Josh previewed the in-progress Office of the Registrar website update with the reconfigured menu structure and the new Academic Calendar. The launch date is to be determined.
Due to a calendar view not meeting the new accessibility guidelines, the Academic Calendar was built with an accessible list-view for launch with the hope that an accessible calendar-view solution will become available down the line. It was recommended that if you have a HawkId and password, you can use the Calendar Combiner to bring dates into your Outlook calendar for a calendar view. After consulting with ITS, it was determined that at this time, the combiner is tied to a user's personal account and cannot generate a generic shared calendar separately from a personal Outlook account. ITS said this was something that could be explored in a future enhancement.
Due to the restructuring of the menu system, many URLs on the new registrar's site will be different. We have obtained a list of URLs used by MAUI/MyUI and will be working with the Drupal web team to make sure that all of those are properly redirected and won't break upon launch. We will be notifying the web community and this user's group once the site goes live, asking other webmasters to please check any links that might be pointing to our current URLs.

Course Library
- Submit spring 2026 course revisions for subject acronym, course number, credit hours, cross-referenced course(s), and administrative home using a revise course form until June 24.

Exams

Registrar Exams, ITS, the College of Liberal Arts and Sciences, and the Division of Online Education have had several discussions regarding final exams to relieve space constraints for extended time accommodations. Beginning with fall 2025, the MAUI final exam needs submission tool will include an option for exam length: 60 minutes, 80 minutes, or 120 minutes. Instructors will be able to choose one of these three options for the length of their final exam. More information will be forthcoming at our March SASUG meeting.
