Summer 2020 Course Offering Instructions

This message is intended for all Academic Departmental Administrators, DEOs, Collegiate Admin, and Instructors teaching Summer 2020 courses on campus

Following the Friday, March 27, announcement that the University of Iowa is moving the summer 4-week, 6-week I and 12-week subsessions to online-only modality, we wanted to share additional, important information related to the summer session that will impact your department and/or students. 

Overall Session and Subsession Dates

Subsessions:  4-week, 6-week I and 12-week, are scheduled to begin as planned on Tuesday, May 19, 2020, online-only.

Subsessions:  8-week and 6-week II, continue as planned in face-to-face instruction or the modality currently described in MAUI.  [A decision whether to offer face-to-face instruction for the final two subsessions will be made later this spring semester.]  Colleges may choose to offer only online sections during all subsession dates, if desired.

Course Offerings

All approved course offerings will remain in MAUI as listed.  Departments must review their summer 4-week, 6-week I and 12-week section offerings for the new online-only directive to determine instructional feasibility.   It is important that students understand if the section will be offered and which modality the course will follow to make necessary decisions related to their registration.

The 4-week; 6-week I; and 12-week sessions will remain as online-only for their full duration regardless if face-to-face instruction resumes for the 8-week and 6-week II sessions.

Off-cycle courses – If course start date begins prior to June 15 (start date of 8-week session), all sections remain online-only regardless if face-to-face instruction resumes for the 8-week and 6-week II sessions.

If section is canceled, departments follow a similar process created for COVID-19 on the Course Cancellation Best Practices:

  • Change the Registration Status of the course from Open to Pending.
  • Contact Reg-MAUI-Support and indicate you need to cancel a course. Include the course number and session. If alternate courses are available to suggest to students, include the course number(s).
  • The Office of the Registrar will drop student enrollment and work with the department to contact students.
  • After all students have been removed from the course, the Office of the Registrar will cancel the course.

If section remains, departments submit a revised workflow slip to the Office of the Registrar to modify their time/locations information to reflect their plan for student participation.  This process will release the classroom/instructional space & building currently listed in MAUI/MyUI.  For more information, see the Office of the Registrar COVID-19 instructions.

  • Synchronous plan – Departments enter the class time/day of the group interactive meeting and location World Wide Web.
    • If classroom/instructional space is required for live, synchronous group meeting events or lecture recordings, please contact the appropriate building scheduler to track classroom usage as done for COVID-19.
  • Asynchronous plan – Departments enter class time as ARR and location as World Wide Web.  This instruction occurs outside specific time constraints.

Departments are reminded that of the Registration Information field is a good way to convey any supplemental information to their enrolled and prospective students.  We strongly encourage departments to provide students with as much information as possible so they can make informed decisions.

Registration

No interruption with ongoing registration is expected. Students will continue to have the opportunity to register in MyUI as long as the course has not begun. Departments and instructors should continue to communicate with enrolled students about the modality and any course changes.

If students need to be administratively dropped from the course, departments are encouraged to follow the “if section is canceled” directions above.

Summer 2020 Final Exams

Summer 2020 final exam needs will be gathered in the same manner as previous summer sessions. On April 15, the exam needs tool in MAUI will open for Summer final exam needs submission. An email will be sent to departmental administrators on April 15 as a reminder.

4-week, 6-week I, and 12-week Summer Sessions

Due to the 4-week, 6-week I, and 12-week summer sessions being offered exclusively online, we will only be scheduling date/time assignments for any course that requests a final exam assignment for these sessions. If a University Classroom is requested in the exam needs tool, it will not be assigned.

6-week II and 8-week Summer Sessions

At this time, we have not received information on limitations to how 6-week II and 8-week sessions can be offered. Until we hear otherwise, we will provide date/time assignments and room assignments since face-to-face instruction MAY continue as planned. If it is later determined that these sessions will also only be offered online, we will remove the room assignments and communicate the change to faculty and staff.

Final Exam Schedule Publication

The Summer 2020 final exam schedule will be published to campus on May 19, 2020.
